Applied Behavior Consultants, Inc. (www.abcreal.com) needs an Administrative Assistant for the front desk. This position initiates, coordinates, and executes administrative and other duties to the COO. Provides billing and timesheet processing assistance to the Accounting Department per accounting schedule. Provides backup assistance to the school administrative assistant when that person is out of the office.
Some job duties include:
· Answer & Transfer all incoming calls
· Troubleshooting problems that callers or employees are having with accessing voicemail.
· Check voicemail and direct messages to correct extensions
· Backup for school receptionist
· Printing reports, preparing fax cover sheets, creating Memos
· Update appointment binder & verify openings for conference rooms
· Complete travel arrangements - flights, hotels, car reservation.
· New hire packets.
· Training binders.
· Application packets.
· Office Supplies
· Business Cards
· Meet and greet people as they come and go
· Filing/Scanning for billing department
· Maintain break-room by keeping supplies handy
· Make sure copier and fax machines have paper
· Attend to faxes
· Mail parcels certified, regular, and FedEx
· Maintain storage room and cupboards by having supplies ready for distribution
· Fix copier when jammed & Contact Smile Business Product when copier is down
· Set up LCD, Laptop, & Video Tape Recorder in Large conference room when requested
· Keeping Large and Small conference rooms clean
· 3 years of office experience
· Excellent verbal and written communication skills
· Strong interpersonal, organizational, problem-solving and analytical skills
· Outstanding customer service skills
· Must be able to sit/stand for long periods of time
· Lift/carry 20lbs.
· Push/pull 35lbs
